Roska DBO Inc. is currently seeking a temporary Administrative Assistant for our busy client located in the Swift Current, SK area.  This position is a leave coverage and will be for a 1 month term with the possibility of extension.     Responsibilities:<ul><li>Detail tracking of waste manifests, filing and annual report preparation; </li><li>Support tracking and updating work completion reports in relation to the Equipment Maintenance Program;</li><li>Coordinate ground disturbance documentation support for field operations; </li><li>Update and maintain corporate contact lists;</li><li>Process staff expense and PCard reports;</li><li>Generate purchase orders for the district;</li><li>Maintain and update safety course data base;</li><li>Prepare and distribute various month end reports; and</li><li>General office duties as assigned.</li></ul>

At this level, a Project Coordinator will begin internal facing and contribute to their team.A Day in The LifeSafety<ul><li>Adhere to all Secure safety policies and procedures</li><li>Coordinate and communicate effectively with the Safety Department</li><li>Aid in project documentation filing and preparation</li><li>Participate, arrange, lead and be engaged in Safety meeting</li></ul>Estimating and Bidding<ul><li>Assists in the preparation of parametric estimates in Hard Dollar and observes, reviews the bidding process by:</li><li>Reading tender/contract documents to achieve knowledge of scope of work and specifications</li><li>Conducting take offs from drawings/blueprints incorporating into Hard Dollar</li><li>Work with Procurement to obtain 3rd party quotes as required and incorporating them into Hard Dollar as required</li><li>Work with internal groups such as Legal, Credit, Finance &amp; EHS to ensure Projects are bid and setup in accordance to Secure’s policies and procedures.</li></ul>Scheduling and Planning<ul><li>Observe, assist and seek understanding in scheduling and planning activities</li><li>Perform critical administrative functions including the documentation of daily site activities, creation of the start-up sheet and supervisor’s folders making use of Microsoft project.</li><li>Make regular site visits to better understand the scope of work, if not already stationed on site.</li><li>Site Supervise and work with onsite personnel as required.</li></ul>Reporting and Cost Tracking<ul><li>Assists with the administration of Fieldsafe &amp; Kronos for project cost &amp; employee tracking</li><li>Assists with daily reviewing and entry of the daily time sheets in Field Safe</li><li>Assists with the daily, weekly and monthly labour, equipment, material and sub-trade costs and reviews through Fieldsafe with the Project Manager on a regular basis</li><li>Assist with preparing progress invoicing and progress status reports</li><li>Assists with administrative project closures tasks at end of project</li><li>Prepares and maintains onsite project tracking binders</li><li>Completing project set-up from information provided by the Project Manager and team, ensuring all project attributes and variables have been properly input into   internal computer programs in accordance with the contract requirements</li><li>Daily entry of project costing &amp; tracking including labour hours, equipment hours and third-party costs</li><li>Assist project team with entering project visa expenses, scanning receipts and ensuring each expense entry maps correctly to the project cost module for cost tracking</li><li>Complete project uploaders, ensuring costs are receded</li></ul>Risk:<ul><li>Assists in the identification of risk based on contracts as well as site specific conditions</li><li>Assists with the preparation, communication of risk mitigation strategies</li><li>Assist in risk identification of 3rd party contractors utilizing ISNetworld</li></ul>Skills, Experience, &amp; QualificationsThe successful candidate will have the following attributes:<ul><li>Recent college diploma or degree, preferably in an Environmental program or Engineering</li><li>0-2 years discipline-related experience</li><li>Strong computer skills with proficiency working with Microsoft Office suite</li><li>Lead by example and commit to positively lead and influence the Secure Safety Culture</li><li>Ability to work with multiple Project Managers/Coordinators on multiple contracts simultaneously</li><li>Thrive for the challenge of a multi-discipline environment that changes quickly and requires accurate attention to details and solid commitment to follow through on tasks without direction</li></ul>What’s in it for you:At SECURE, we focus on opportunities for growth and improvement; for our employees, our customers, our partners, and the communities we operate in.
