Site Project Administrator

POSITION SUMMARY The Accounts Receivable &amp; Collections Administrator monitors the accounts and credit status of customers, including:<ul><li>Ensuring timely processing of incoming customer payments</li><li>Determining customer credit worthiness</li><li>Communicating with both customers and field offices in order to expedite payment of amounts due to Strike</li><li>Reporting regularly on the aging status of customer accounts to corporate and field management</li><li>Monitoring customer invoice aging and follows up regarding approvals in a timely manner and proactively looks to address invoicing issues between the customer and field offices</li><li>Communicating issues and concerns to the appropriate level of management</li><li>Monitoring accurate invoicing processes (as required) and maintains related records</li><li>Acts as a point of contact for customers regarding invoicing and payments</li><li>Creates, distributes and maintains accounts receivable and credit reports</li><li>Issues holdback requests invoices ensuring timely completion of required documents in accordance with the contract</li><li>Monitors customer portals (Cortex, ADP, Open Invoice, etc)</li><li>Manages credit policy</li></ul>Employees are expected to support and participate in a “culture of safety”, adhere to and be ambassadors of Strike’s Code of Conduct and Values, act professional and amicable, and to treat others with dignity, respect and fairness. CORE ACCOUNTABILTIES<ul><li>Prepare and maintain accounts receivable reports in Microsoft Dynamics AX and CMiC, including invoice aging, credit information, and holdback records</li><li>Prepare and distribute accounts receivable information as required as well as ad hoc reporting requirements</li><li>Analyze financial data and make recommendations to controller regarding acceptable credit limits for new and existing customers</li><li>Monitor lien periods and initiate lien placement as required</li><li>Perform AR account reconciliations</li><li>Assist with audit queries related to AR</li><li>Participate in industry credit group</li><li>Maintain necessary level of confidentiality regarding financial records and client information</li><li>Communicate with clients regarding billing and collection</li><li>Investigate and resolve billing discrepancies and mitigate client collection issues, coordinating with internal resources as required</li><li>Initiate credit checks for potential and new customers and perform annual review and adjust existing client credit limits</li><li>Process cash receipts</li></ul>QUALIFICATIONS Education<ul><li>Relevant post-secondary education preferred (e.g. business administration, accounting, or commerce)</li></ul>Experience<ul><li>Minimum of four years of relevant Accounts Receivable and Collections experience</li></ul>KNOWLEDGE, SKILLS, &amp; ABILITIES<ul><li>Strong written and verbal communication skills</li><li>Excellent organizational and time management skills</li><li>Strong Excel skills and data manipulation</li><li>Proactive and willing to dig deeper for answers and take the hard line and ensure accountability if the circumstances dictate</li><li>Possesses an eye for detail</li><li>Able to multitask and operate in a dynamic environment</li><li>Broad understanding of finance and accounting</li><li>Strong experience with Cortex and Open Invoice/Oildex are definite assets</li><li>Knowledge of financial and accounting software applications is required including, Microsoft Dynamics AX and CMiC</li><li>Strong working knowledge of financial ratios and other techniques used to evaluate credit worthiness of customers is a necessity</li><li>Capable of working independently with minimal direction</li><li>Prior experience with a construction or oilfield services organization</li><li>Proactively seeks and accomplishes tasks that lead to a safe, efficient, and productive work environment</li></ul>Why work for Strike: Based in Western Canada with a head office in Calgary, Alberta, we provide energy and industrial construction and maintenance services across the largest geographical area in Canada.
