Job Purpose:

The Field Administrator is a highly organized and energetic individual provides administrative support to the Operations and Project Management team.  The successful candidate will quickly develop a working knowledge of the day to day operations and company activities while providing excellence in customer service.

Essential Duties & Responsibilities

The responsibilities of this role include, but are not limited to:

  • General administration duties (meeting prep, filing/scanning documents, travel planning, expenses, etc.)
  • Providing knowledgeable and courteous customer service at reception
  • Receiving visitors at front desk by greeting, welcoming and directing them appropriately
  • Answering, screening and forwarding incoming calls
  • Proper administration and maintenance of Accounts Payable and Accounts Receivable
  • Submitting and tracking vendor invoices
  • Processing tickets and generating and tracking statements/invoices
  • Assist with entering daily volumes, inventories and transfers
  • Filing, scanning, and handling incoming/outgoing mail
  • Operating scale desk and generating customer approvals including:
    • Scale trucks in/out
    • Confirming load type
  • Accurate data entry into a computerized system with particular attention to accuracy and timeliness.
  • Ensure field paperwork (i.e. field tickets) is accurately captured on a timely basis
  • Coordinate the flow of field paperwork ensuring appropriate approvals are obtained for required documents and documents are forwarded on to the appropriate department or individual
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing
  • Related tasks and projects as required

Qualifications/Competencies

The individual in this role will have:

  • Grade 12/GED
  • Administration or Accounting Certificate/Diploma would be considered an asset
  • Minimum 2 years administrative/accounting experience
  • Good time management and organization skills and ability to work effectively under pressure, meet demanding deadlines, & multi-task
  • Ability to adapt and interact within different working environments
  • Solid ability and experience working in a team-based environment
  • Excellent communication, interpersonal and customer service skills
