
Fleet Administrator
BOXX Modular (Canada) rents, leases and sells temporary and permanent modular buildings, including standard buildings ready for immediate delivery and custom-designed solutions. We have a full-time position for a Fleet Administrator in Kelowna, British Columbia.
What you will be doing:
Planning:
- Manage projects assigned by the Branch Manager. Ensure that work scopes are identified and planned accordingly and that all equipment, manpower and materials required to execute are coordinated and available in a timely fashion.
- Work closely with the Branch Manager on the development of all project/yard work plans including pertinent project specific documents.
- Maintain open communications with the Contract Administrator and Branch Manager reviewing deliverables on a weekly basis with daily updates expected, as a minimum standard.
- Attend regularly scheduled daily, weekly, and monthly meetings
- Assist sales team with asset selection for contracts
Safety:
- Ensuring that safety is the top priority in all work done in the yard and all yard employees and contractors are aware of and comply with all safety requirements
- Complete all daily, weekly and monthly inspections and reports using eCompliance as required by HSE.
- Coordinate safety efforts for branch operations, using both internal and external resources as required
- Report all incidents immediately to the Branch Manager and Black Diamond Safety team and ensure that the incident reporting policies are followed.
- Participate and lead in risk and incident reviews and work with HSE (if required) to develop standards, practices and control measures.
Yard Management:
- Track and report on work completed in the yard, daily and weekly as required ensuring that inspections and fleet information in the various systems are done per requirements, and the information is complete and accurate
- Identify all operations issues or concerns as they arise
- Track and weekly report on the whereabouts of our fleet in our yard
- Some travel may be required to remote sites (yards) other office locations
- Unload and moving fleet with yard forklift.
Fleet Administration:
- Coordinate building deliveries, returns & relocations
- Coordinate building basic installations and demobilizations
- Assist in maintaining the transportation calendar of units leaving or returning
- Complete out-bound fleet inspections, prep buildings for delivery with contractors, inspect quality
- Complete in-bound fleet inspections, inspecting for damages, coordinate cleaning & repairs using employees or contractors
- Coordinate the servicing and maintenance of the fleet, helping out in a hands-on way as required
- Coordinate with employees and contractors to ensure service, maintenance and modifications of units are complete
- Coordinate with Contract Administrator regarding issuing purchase orders for associated service work on the units
- Complete monthly, quarterly and annual fleet counts
- Order materials for inventory and projects
- Complete monthly material inventory counts and supply details to CA for reconciliations
- Other duties as required
Skills and Qualifications
- Experience Microsoft Office software (Word, Excel and Outlook)
- 1+ years of experience in inventory control, fleet, or customer service environment within manufacturing, energy, construction, government, and military, mining, or rental business sector is an asset.
- Excellent project and time management skills, strong analytical and problem-solving skills, and detail oriented
- Excellent written and verbal communication skills
- Thrives in a changing environment in a fast-growing company and the ability to work both inside 50% and 50% outdoors.
- Hardworking, collaborative, results-focused individual able to identify opportunities for improvement, provide solutions and action change
- Must have valid/clean driver’s license and the ability to pass pre-employment criminal records check
- Must be able to lift a minimum of 50lbs. Fit for duty.
- Forklift license would be an asset or the willingness to learn
