Sample Coordinator
SUMMARY
Position reports directly to Fluids Lab Supervisor. Main responsibility is to ensure that sample details for incoming samples are accurately logged into our internal LIMS system. Responsibilities also include contacting our clients and liaising with our company field technicians to confirm sample details and analysis requirements are correct. Position requires liaison with our laboratory coordinators to ensure client objectives, laboratory analyses and associated deadlines are clearly defined. In addition to the duties and responsibilities related to sample log-in, the position also requires occasional assistance in our shipping / logistics department. This assistance would be in the form of covering shipping and logistics duties during times when our regular staff member is out of office.
DUTIES AND RESPONSIBILITIES
Sample Coordination
- Must comply with all Safety Responsibilities explained in the Safety Responsibility Policy.
- Maintain confidentiality and impartiality.
- Coordinate the activities of sample log-in to ensure projects are logged-in accurately in a timely manner according to protocol.
- Check the Priority Clients List and determine if the samples are priority.
- Verify that all containers/samples are accounted for, and initiate tracking for missing shipments.
- Track down the appropriate clients contact if none is given, either by company history (accessing the LIMS database) or by doing cold calls.
- Check the List of Companies with Special Requirements and determine if special coding info is required.
- When required, contact clients regarding samples that have been received to determine analytical testing requirements and to complete incomplete paperwork. If contacting client, ask for coding info (if not already available).
- Responsible for storing and finding all samples for Fluids Laboratory (excluding PVT samples), in a timely fashion.
- Proper disposal of samples past their assigned holding date as per proper SOP.
- Must be knowledgeable regarding the analyses offered by the department, and able to suggest testing if required or refer to a Coordinator/Technical Advisor.
- Responsible for removal of garbage, coolers, boxes, and any other containers.
- Maintain compliance with the Health, Safety, and Quality Management Systems requirements.
- Contribute to the effectiveness of the Management Systems, including improvement of performance and reduction of nonconformities.
- Verify current legal well names and unique well identifiers using most relevant database information system.
- Determine if client is set up. If not, forward information to Admin Supervisor to have it set up.
- Recognize routine work orders, clients, analysis, and turnaround time requirements.
- Perform other tasks and duties as required and/or instructed to by Fluids Lab Supervisor.
Logistics (when needed)
- Prepare bills of lading and post weight for outgoing shipments.
- Report on damaged goods or materials to Supervisor and end-user.
- Ensure shipping area is kept clean and orderly.
- Maintain inventory of shipping materials including IATA approved boxes, placards, labels, and other shipping supplies as required. Also maintain inventory of janitorial supplies
- Order compressed cylinder gases on a weekly basis.
- In case of fire, take visitor book and First Aid kit to muster point at front of building and cones to prohibit entrance to incoming traffic.
- Assemble processes and ship all outgoing material, ensuring that all shipments meet regulatory requirement (e.g., Transport of Dangerous Goods and IATA).
Front desk (when needed)
- Ensure all incoming visitors are signed in and are given visitor badges.
- In case of fire, take visitor book and First Aid kit to muster point at front of building
QUALIFICATIONS
- Minimum high school / secondary education, Bachelor Degree preferred.
- Minimum of 1 year experience in a similar position, i.e. Sample log-in technician
KNOWLEDGE, SKILLS & ATTRIBUTES
- Good verbal and written communication.
- Ability to perform basic mathematical calculations .
- Ability to use (general) computer software such as MS Office.
- Ability to use/learn laboratory computer software (e.g. LIMS, LabView)
- Safety Awareness at all times.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit, lift, carry, push, reach, and bend. Must be able to work in the presence of odors typical of petroleum or petrochemicals without allergic reactions or nausea.
The department provides product information, training, engineering controls, and personal protective equipment in an effort to protect employees from exposure to potentially harmful levels of these materials. Employees are required to read product information, use available engineering controls, follow guidelines presented during training, and be able to wear and use appropriate protective equipment, including respiratory protective equipment, as may be required by the work environment.
